The best review response depends on the rating. A furious one-star needs a different touch than a glowing five-star. Below are examples you can adapt for your own business — copy the structure, swap in the specifics.

1-star: an angry, specific complaint

“Booked a deep clean and the team rushed through in an hour. Baseboards and the oven were skipped completely.”

Response:

A deep clean should never feel rushed, and skipping the baseboards and oven means we didn't deliver what you paid for. We'd like to send a team back to finish properly at no charge — please reach out and we'll get you on the schedule right away.

Why it works: it names the exact problem, owns it without excuses, and offers a concrete fix offline.

2-star: disappointed but not furious

“Food was fine but we waited 40 minutes on a quiet night and nobody checked on us.”

Response:

Thank you for the honest feedback — a 40-minute wait on a slow night isn't the experience we want, and we should have checked in. We're working on our timing, and we'd love the chance to do better. Please come see us again and ask for the manager.

Why it works:acknowledges the valid point, shows you're acting on it, and invites them back.

3-star: lukewarm and vague

“It was okay. Nothing special.”

Response:

Thanks for taking the time to leave a review. “Okay” tells us there's room to impress you next time — if there's anything specific we could do better, we'd genuinely like to hear it. We hope to see you again.

Why it works:stays gracious, gently invites detail, and signals you care about getting from “fine” to “great.”

4-star: happy with a small caveat

“Great service, would've been 5 stars if parking were easier.”

Response:

Why it works: warm, takes the feedback in stride, no defensiveness over the missing star.

5-star: a glowing review

Why it works:don't ignore the happy ones — a genuine thank-you (that echoes their words) reinforces your reputation for every future reader.
